JOB SUMMARY
Administrative Assistant responsibilities include making travel and meeting arrangements, preparing reports, and maintaining appropriate filing systems. The ideal candidate should have excellent oral and written communication skills and be able to organize their work using tools, like MS Excel and office equipment. Admin Assistant should ensure the efficient and smooth day-to-day operation of our office.
RESPONSIBILITIES
- Assist the department for to ensure smooth running of daily operations in office such as filling documents, and other ad-hoc tasks assigned by the superior.
- Update and maintain office policies and procedures.
- Develop and maintain a filing system.
- Write and distribute email, correspondence memos, letters, and forms.
- Assist in the preparation of regularly scheduled reports.
- Answer and direct phone calls.
- Plan meetings and take detailed minutes.
- Organizing and scheduling appointments.
- Any other ad-hoc task assigned.
EDUCATION & EXPERIENCE
- Proven experience as an administrative assistant or office admin assistant. Fresh Graduates, SPM, Diploma may apply.
- Required language(s): English, Bahasa Malaysia, Mandarin (optional)
SKILLS & ABILITIES
- Knowledge of office management systems and procedures
- Proficiency in MS Office (MS Office, and MS Excel, in particular)
- Excellent time management skills and the ability to prioritise work
- Attention to detail and problem-solving skills
- Excellent written and verbal communication skills
- Strong organisational skills with the ability to multi-task
